On World Productivity Day we celebrate the incredible power of efficiency, focus, and accomplishment. It’s a day to recognize the importance of optimizing our time and resources, and to inspire each other to reach new heights of productivity. Why not incorporate this into your daily life and help yourself to reach your own goals without feeling the overwhelm of inefficiency and ineffectiveness.
Whatever you are working on today, productivity plays a crucial role in shaping our days and reaching our goals. But, it’s also about finding that perfect balance between work and rest, and making the most of every precious moment.
Here are a 6 tips to boost your productivity:
1️⃣ Plan and Schedule
Prioritize and identify your most important tasks and tackle them first. Focus on what truly matters and don’t let distractions steer you off course.
Here are 3 tools that can help you plan and schedule your tasks so you can stay on track:
Asana: Asana is another powerful project management and task tracking tool. It provides a comprehensive platform to create tasks, assign them to team members, set due dates, and monitor progress. Asana offers various views, including list view, Kanban board view, and calendar view, to help you visualize and manage your tasks efficiently. You can also set dependencies between tasks, create recurring tasks, and integrate with popular productivity tools. I personally love Asana and have kept myself on track with this tool.
Google Calendar: Google Calendar is a versatile scheduling tool that allows you to manage your time effectively. You can create events, set reminders, and schedule recurring tasks. It provides a user-friendly interface and offers options to colour-code events, share calendars with others, and set notifications. Google Calendar also integrates well with other Google services and can be accessed across multiple devices. You can use the whole suite of products from Google Workspace!
Toggl Track: Toggl Track is a popular time tracking tool that helps you plan and manage your tasks efficiently. With its simple and intuitive interface, you can easily track the time you spend on different activities and projects. Toggl allows you to create projects, add tasks, and start timers to accurately monitor your work. You can also categorize tasks, set billable rates, and generate detailed reports to gain insights into your productivity. Toggl integrates with other productivity tools and offers features like reminders and idle detection to ensure accurate time tracking. I have been using this almost from the start of my business and it has helped to keep up with my billable time, track how much time I spend working but also, allows me to look at the reports and make business decisions from the Analytics.
2️⃣ Break It Down
Big goals can feel overwhelming, so break them into smaller, manageable tasks. Don’t forget to celebrate each milestone along the way!
You can use Asana and break your tasks into sub-tasks. You can also try out the Pomodoro timer that comes with Toggl Track to remind you to tackle these tasks in 25 minute chunks of time.
What is The Pomodoro Technique? This is a time management method designed to improve focus and productivity. It involves breaking your work into intervals, typically 25 minutes long, called “pomodoros,” followed by short breaks. After completing a set number of pomodoros, a longer break is taken. This technique aims to enhance concentration, prevent burnout, and maintain a balance between work and rest. 3️⃣ Time Management
Use your time wisely. Set specific time blocks for different activities and avoid multitasking. Remember, quality over quantity!
Try goal setting as well. By prioritizing tasks and allocating time accordingly, you can identify and set clear and specific goals that you want to achieve in the short term and long term.
We all know that procrastination can dampen your productivity. Recognize the tendency to delay tasks and find strategies to overcome it so you can stay focused and motivated. Easier said than done! But, practice makes perfect. Give it a try.
Be kind to yourself as well. Recognize that unexpected events and changes may disrupt your plans. Be flexible and adaptable in adjusting your schedule and priorities as needed. This allows you to maintain productivity even in the face of unforeseen circumstances.
4️⃣ Take Breaks
Rest and rejuvenation are key to maintaining productivity. Give yourself short breaks to recharge, and don’t forget to take care of your physical and mental well-being.
We all have a tendency to plug along all day thinking we are being productive without realizing our productivity is waning the longer we go without breaks. But, also our mind and bodies are being stretched to the limits and ultimately, this will leave us drained and unproductive counter to what we set up to be.
We often forget about self-care as a priority in your daily routine. Set aside dedicated time for activities that rejuvenate and nourish your mind, body, and soul. This can include practices like exercise, meditation, journaling, reading, taking relaxing baths, pursuing hobbies, or spending quality time with loved ones. Find what brings you joy and relaxation, and make it a regular part of your self-care routine.
Consider adding the practice of mindfulness and stress management into your daily life. Take moments to pause, breathe, and be fully present in that moment. When you reduce stress and improve your focus this will enhance your overall well-being. This can include activities like meditation, deep breathing exercises, or mindfulness-based practices in your routine. Practising stress management includes techniques such as setting boundaries, delegating tasks, and engaging in activities that help you unwind.
5️⃣ Stay Organized
Eliminate the clutter by clearing your physical and digital spaces. A clutter-free environment can help declutter your mind and increase focus.
We all know how to clean up our physical spaces but know it can be a time-consuming and arduous task that can be drawn out if you start to reminisce, contemplate, or ruminate on whether to discard various items. I know I am guilty of this and need to get better at tidying up my workspace.
Digital decluttering may be easier but it can also get unwieldy with the many duplications of files etc. because of the ease with which we can accumulate digital assets.
Start your digital decluttering with these quick tips:
- Start by organizing your digital files, documents, and folders.
- Delete any unnecessary or outdated files to free up storage space.
- Regularly review and declutter your digital files to avoid clutter accumulation.
- Review and Clean Up Your Email Inbox.
- Unsubscribe from any newsletters or mailing lists that you no longer follow or find useful.
- Streamline Your Digital Devices and Apps by deleting unused apps

There is so much to learn whether it is business strategies, personal development, or even just a new skill or hobby, find what interests you and go from there. Once thing will inevitably lead to another and you will find many things to occupy your mind and spirit and grow!
